The boring stuff – terms and conditions

Thank you for choosing to book your wedding or party with Hargate Hall. When you make this booking you are entering an agreement with us. Please read our terms and conditions of booking below.

Charges and Terms

When booking we require a non-refundable booking fee of £1000 to be made within 7 days of the booking or we reserve the right to release the dates. You should pay any remaining balance at least 28 days before the start of the holiday. We reserve the right to cancel the booking if full payment has not been received by this date.

Payment can be made by:
(a) By cheque
(b) By electronic transfer direct to our account (BACS) preferred
(c) By debit card

Pets

Pets are very welcome – we just need to know at the time you make your cottage booking and we make an additional charge for them (£30). We expect that they will be will behaved and house trained! Please keep them off the soft furnishings and beds, do not leave them unattended in the property and make an extra effort to vacuum up all dog hairs before leaving. Please exercise your dog away from the cottages and collect any dog waste for appropriate disposal.

Party size

Numbers of guests staying must not exceed the maximum number of people for which we supply beds/bed linen. We reserve the right to refuse or cancel any booking that in our opinion may be unsuitable for Hargate Hall.

Smoking

All of the apartments and communal rooms, buildings and the marquee at Hargate Hall are non-smoking. If you wish to smoke outside, please ensure that you dispose of matches and cigarette butts in one of the bins provided.

Cancellation and Insurance

Once you have booked your wedding, our agreement is a legal contract and your deposit is non-refundable. If for whatever reason you need to cancel, the following will apply:

Earlier than 12 months before the start of your booking your liability will be limited to loss of the booking fee paid.

Between 6 months and 12 months before the start of the booking 25% of the full hire charge will be payable.

Between 3 months and 6 months before the start of the booking 50% of the full hire charge will be payable.

If  3 months or less before the start of the booking 100% of the full hire charge will be payable.

Please note that your deposit is not refundable under any circumstances. For this reason We strongly recommend you take out wedding/party insurance. Events Insurance offer a good bespoke policy www.events-insurance.co.uk , though there are many others who might suit your specific requirements.

Cancellations must be made in writing (including e-mail) and any monies owed must be paid before the cancellation is actioned.

Non-availability of Accommodation

We would only cancel your booking if Hargate Hall was unavailable for reasons beyond our control. We ask that you make sure you are covered for this eventuality with wedding, party or holiday insurance.

Force majeure:
For the purposes of this Contract, Force Majeure Event means an event beyond the reasonable control of Hargate Hall including but not limited to strikes or other industrial disputes (whether involving the workforce of Hargate Hall or any other party), failure of a utility service or transport network, act of God, war, riot, civil commotion, malicious damage, compliance with any law or governmental order, rule, regulation or direction, accident, breakdown of plant or machinery, fire, flood, storm or default of suppliers or subcontractors.) Hargate Hall shall not be liable to the Customer as a result of any failure to perform its obligations under this Contract as a result of a Force Majeure Event.
If the Force Majeure Event prevents Hargate Hall from providing the Venue on the Date, Hargate Hall shall, without limiting its other rights or remedies and without liability to the Customer, have the right to terminate this Contract immediately by giving written notice to the Customer.

Arrival

Your accommodation will be available to you from 4.00 pm on the day of arrival, unless otherwise arranged. If you arrive earlier, we may still be preparing your cottage, and you may not be able to gain entry! We will do our best to be on site to greet you personally, but in the event that we are not at home when you arrive, you will be able to let yourself into your cottage. We will come and find you to say ‘hello’ on our return.

Departure

Please be ready to leave the accommodation by 10.00 am on the day of departure, unless otherwise arranged. We ask that you leave the cottage, as far as possible, in the condition that you would like to find it. We reserve the right to make a charge if the cottage is left in an excessively dirty condition. Your right to occupy the property is limited to a right of occupation for holiday or party purposes and such right shall terminate at 10.00 am on the scheduled date of the completion of the holiday or party.

Damages and Breakages

Please take care of our property. You are responsible and liable for any breakages or damages that you cause to the accommodation or its contents. Please report these as soon as they occur. We do not normally charge for minor breakages, but we reserve the right to charge you for repair or making good if the damage or breakage is significant.

Please let us know about any problem with any appliance or fixture or fitting as soon as possible.  We can then try to rectify the problem.

Liability

We ask visitors to take care at all times while on our property. Parents in particular are asked to ensure that children are safe, accompanied by a responsible adult and not left unattended. We do not accept responsibility or liability for injury or damage to and loss of guests property, cars and contents and you agree to indemnify and hold us harmless from and against all actions, claims, costs and proceedings (including reasonable legal fees incurred in defending the same) arising from your acts or omissions (and those in your party) while on our property. In the event of guest misbehaviour or other necessary cause, we reserve the right to terminate the let without any refund of letting monies.

We (or our representative) reserve the right to enter any property at a reasonable time for the purpose of emergency maintenance or repair or any other need.

Complaints

We want your stay with us to be enjoyable. Nevertheless, should you have cause for complaint, please advise us immediately, and we will do our best to assist you. It is difficult to investigate complaints of any nature once you have returned home, and, therefore, it is unlikely that complaints can be accepted and investigated at the end of the hiring period or after you have departed.

Data Protection

We may keep any data collected during the course of this booking. We will never sell any data to a third party.
